Behind the Lens: How We Produced the Hargrove Crawfish Classic Video

Every production has a story. The Hargrove Crawfish Classic was one of those projects that reminded us why we do what we do.

The Crawfish Classic is one of the most beloved annual events on the Gulf Coast — a community celebration that brings together hundreds of people for a day of food, music, and genuine connection. When Hargrove Engineering approached us to document it, we knew we weren't just covering an event. We were telling a story about community.

The Creative Brief

Our client's ask was simple on the surface: capture the energy, the people, and the experience of the event in a way that could be used for future marketing and internal culture content.

But simple briefs require complex thinking. We had to answer:

  • What's the emotional story we're telling?
  • Who is the primary audience for this video?
  • How do we balance event coverage with brand storytelling?
  • What will make someone want to watch this if they weren't there?

Our answer: instead of a standard event recap, we'd structure it as a celebration of community — with Hargrove at the center as the host, but with the people as the real heroes.

Pre-Production: Planning for Chaos

Event production is inherently unpredictable. You can't direct 500 people at a crawfish boil. So we over-planned everything we could control.

Shot list development: We mapped out every critical moment — the setup, the first guests arriving, the food preparation, candid conversations, the energy at peak capacity, and the quiet moments at the end of the day.

Crew briefing: Each crew member had specific assignments. One shooter focused on wide establishing shots and crowd energy. Another focused on intimate, candid close-ups. A third handled drone operations during approved windows.

Equipment prep: We brought a cinema package with multiple camera bodies, prime lenses for the low-light interior moments, and audio gear to capture ambient sound that would anchor the final edit.

Production Day: Controlled Chaos

We arrived two hours before gates opened. That quiet time — when the crawfish were going in and the team was setting up — gave us some of our most beautiful footage. Steam rising from massive pots. Hands working purposefully. The anticipation before the crowd arrives.

When guests arrived, we split up. Our goal was to be everywhere but noticed by no one. The best event footage is candid — real laughter, real conversations, real moments of connection.

Some of the best shots we captured that day:

  • A group of colleagues seeing each other for the first time in a year, the genuine surprise and embrace on their faces
  • The moment the sun hit the steam rising from the pots in the late afternoon — pure gold
  • A table of Hargrove engineers, ties loosened, laughing like old friends

Those moments can't be staged. They have to be hunted.

Post-Production: Where the Story Comes Together

We came back with approximately 6 hours of footage. The edit was where we transformed that raw material into a 2-minute story.

Our editor's first task is always to find the emotional spine of the piece — the sequence of moments that tells the story most powerfully. For the Crawfish Classic, it was the arc from anticipation to peak energy to the warmth of people leaving.

The music selection was critical. We chose a track that had energy without being frenetic — something that felt like the Gulf Coast itself.

Color grading was handled in DaVinci Resolve. The warmth of the outdoor afternoon light was preserved and enhanced. Shadows were rich but not crushed. The final look felt like a sun-drenched day on the Gulf — exactly what we wanted.

The Result

Hargrove now uses the Crawfish Classic video for:

  • Recruiting (showing prospective employees the company culture)
  • Event marketing (building anticipation for the next year's event)
  • LinkedIn content (celebrating their team and community investment)
  • Lobby displays (company culture reinforcement)

One video. Multiple uses. That's the power of investing in professional event coverage.

Lessons from This Production

Over-plan the things you can control. Event coverage is unpredictable by nature — but your shot list, crew assignments, and equipment should be locked.

Arrive early. The quiet moments before an event starts are often the most cinematic. Don't miss them.

Let real moments happen. The instinct to direct people is strong. Resist it. The best event footage is found, not made.

Think about the edit during production. Capture the pieces you'll need — wide shots, close-ups, transitions, slow-motion — so your editor has options.
